Third party warehousing and receiving

Your inbound shipment is counted against the packing list, checked for damage and put away to recorded locations in our Sydney 3PL warehouse. Discrepancies are logged against the shipment rather than absorbed quietly.

Order picking

Every ecommerce order arrives as pick work the moment it is paid. Each item is scanned against the order in the aisle, so a wrong pick is caught before it reaches the bench.

Packing to your spec

Orders are packed with your materials and inserts, photographed at the bench, then labelled. The photo stays against the order if a customer queries what arrived.

Dispatch and tracking

Packed orders go out with the carrier that suits the parcel and destination, and tracking is written back to your store automatically.

Returns processing

Returns are received, inspected against the original order and either put back into sellable stock or quarantined, with the outcome recorded against the return.

How an order is fulfilled, from checkout to doorstep

Every ecommerce order runs the same five steps, and each one is recorded against the order so you can see where it got to.

  1. The order is placed

    A paid order lands in the warehouse queue with its line items, through your store's own fulfilment integration. Nothing is exported and no spreadsheet is passed around.

  2. Stock is claimed

    Units are allocated to that order and taken out of your available count, so the same stock cannot be sold twice while it waits to be picked.

  3. It is picked and scanned

    The picker is routed to the locations holding those units and scans each item against the order line. A mismatch stops the pick rather than shipping.

  4. It is packed and photographed

    The order is packed to your spec, weighed at the bench and photographed before it is sealed, then a carrier label is generated for the parcel.

  5. It ships and syncs back

    The parcel is dispatched and the tracking number is written back to the order in your store, so the customer notification goes out without anyone rekeying it.

Questions about outsourcing your order fulfilment

What is third party warehousing?

Third party warehousing is when another company holds your stock and runs the work around it. Ours is a 3PL warehouse in Sydney: your units sit in recorded locations, and the same team picks, packs and dispatches every order that draws on them. You keep the stock, the brand and the customer relationship.

Should I outsource order fulfilment or keep it in house?

Most brands outsource ecommerce fulfilment when packing starts eating the working day, or when the next step is a warehouse lease and a packer on payroll. Below that point, in house is usually cheaper. Send us your monthly order count and we will tell you honestly which side of the line you are on.

What does your ecommerce fulfilment service actually include?

Receiving your inbound stock, storing it, picking and packing every order, dispatching it with a carrier, processing returns and keeping stock and order status live in your dashboard. Freight and customs clearance into Australia are not part of the service.

Which platforms do you integrate with?

Shopify connects natively through our app, and orders arrive as pick work as soon as they are paid. If you sell somewhere else, tell us the platform and we will confirm what the integration looks like before you commit to anything.

How quickly do orders ship?

Orders that reach us before 2pm AEST on a weekday are dispatched the same day. Anything after that goes out the next business day.

What happens when an item is out of stock?

The order is held and flagged as an exception rather than shipped short, and it shows in your dashboard with the shortfall against it. When the stock arrives it is allocated to the waiting orders in the order they came in.

How is order fulfilment priced?

Storage is charged on the space your stock occupies, and fulfilment is charged per order with the pick, pack and shipping components itemised. You get a written rate card before you send any stock.

Can you handle a peak or a product launch?

Yes, provided we know it is coming. Tell us the expected volumes and dates ahead of the peak so the storage and picking capacity is planned rather than improvised.

How do I move from my current setup?

You send your stock to Sydney on an agreed date, we check it in against your counts and connect your store. Most of the work is scheduling the inbound shipment and agreeing how orders should be packed.
